Terms & Conditions
These Terms and Conditions apply to all Australian Flexible Pavement Association (AfPA) events, including conferences, workshops, forums and training.
REGISTRATION & RESPONSIBILITY
By registering, you confirm your intention to attend an AfPA event and agree to pay all associated fees. If you register on behalf of others, you are responsible for ensuring payment for all participants you register.
Please ensure you select the correct event during registration. If you need assistance, contact AfPA at admin@afpa.asn.au.
CONFIRMATION & INVOICING
A confirmation email and invoice will be sent to the email address provided during registration. Please check the email address that you have supplied for accuracy. If you do not receive your confirmation email and invoice within two (2) business days, contact admin@afpa.asn.au.
Invoices are automatically issued and emailed to the purchaser upon completing a registration for any AfPA event or training via our website. If you require a reissued invoice, an administration fee of $25 (+GST) will apply.
PAYMENT TERMS
Payment is required at the time of registration for all events and any additional options (e.g., sponsorships or trade displays). All fees must be paid before the event begins unless prior arrangements have been made.
Credit card payments are processed securely through AfPA’s payment provider. AfPA does not store your credit card details.
CANCELLATION POLICY
Events & Conferences

- Cancellations received 30 days before the event: an administration fee of $50 (+GST) per registrant will apply.
- Cancellations received 15–30 days before the event: an administration fee of $100 (+GST) per registrant will apply.
- Cancellations within 15 days of the event: No refunds will be issued.
If you cannot attend, you may nominate someone to take your place. No refunds will be given for non-attendance, late arrivals, or early departures.
Transfers to another event may be considered upon request and will incur a $25 (+ GST) administration fee per registrant. Transfer requests made less than seven (7) days before the event will not be accepted.
Workshops, Forums & Facilitator-led Training

- Cancellations received 30 days before the workshop, forum or facilitator-led training: an administration fee of $50 (+GST) per registrant will apply.
- Cancellations received 15–30 days before the workshop, forum or facilitator-led training: an administration fee of $100 (+GST) per registrant will apply.
- Cancellations within 15 days of the workshop, forum or facilitator-led training: No refunds will be issued.

E-Learning Programs
If you cannot attend, you may nominate someone to take your place at no additional cost.
Cancellations will incur a $25 (+GST) administration fee.
REFUND POLICY
Refunds are not available for change-of-mind decisions. If your circumstances change, please contact AfPA immediately at admin@afpa.asn.au to discuss your options.
Refund requests are processed within 30 days and will incur a $25 (+GST) administration fee per registrant. By registering for any AfPA event, you accept this refund policy.
EVENT CANCELLATION OR POSTPONEMENT POLICY
If an event is cancelled or postponed due to unforeseen circumstances, AfPA will aim to process a full refund within 30 days of confirming the change. If the event is rescheduled, your registration will be automatically transferred to the new date. If you are unable to attend the rescheduled event, you may request a refund. Refunds will only be issued to the original credit card used for payment.
MEDIA CONSENT
By attending an AfPA event (including presentations, seminars, or conferences), you agree that AfPA (Australian Flexible Pavement Association Limited, ACN 000 770 123) may:

- Record your image or voice via video, audio, photography, or other digital means.
- Use your name or other personal references in connection with these recordings.
- Create transcripts of recordings and use, edit, publish, distribute, or display them globally for purposes such as education, training, research, marketing, journalism, and knowledge sharing.
You will not receive any royalties or compensation for the use of these recordings or transcripts. AfPA may also allow third parties to use this content for the same permitted purposes.
COPYRIGHT
All works presented at AfPA events are protected by copyright. Except as allowed under the Copyright Act 1968 (Cth), no part of these works may be reproduced without written permission from AfPA. For reproduction enquiries, contact:

EVENT ACCESS & IDENTIFICATION
All attendees—including delegates, speakers, sponsors, and industry representatives—must be registered and wear their official lanyard and name card at all times. Entry will not be permitted without a lanyard. Day passes are strictly non-transferable due to insurance requirements.
DISCLAIMER OF LIABILITY
AfPA reserves the right to change event fees or program details if necessary. AfPA is not liable for any personal injury, property damage, or loss incurred by participants or their guests during the event. Opinions expressed by presenters are their own and do not necessarily reflect AfPA’s views.
